Application via the Study Grants E-portal

Only you as a student can apply online for your study grant and follow up your file. You can also give a family member access to follow up your file. Keep in mind that there is a deadline for your application and for completing your file.

    Application procedure

    To apply for a study grant, 7 steps need to be completed.

    • You can log in through any of the on-screen login options.

      • Only you can set a profile, and not, for example, your parent(s). Student services and other intermediary partners can, however, set your profile by logging on in your name. They may only do so if they receive a mandate from you.
      • When must your profile be set? The deadline for this is fixed by law: from 2 June of the year in which the academic year starts until 1 June of the year in which the academic year ends.
    • The study grants department will create a file for you once you set your profile. You can consult your file via the E-portal at the latest one week later. Are you a new student? Then you first have to set up your profile yourself. Does the Study Grants Division already know you from last year? Then chances are that the start-up of your file is automatic, but this is not always the case.

      • What details can you contol or complete?

        1. The maintenance provider (the person who is responsible for your living expenses: food, study, etc. It is your legal representative with whom you have your main residence on 31 December of the academic year)
        2. Income
        3. Maintenance (only if applicable)
        4. Rental contract for student housing
        5. Additional forms and comments. These are needed if:
          • There are still adult persons in the family who do not have a file for a study grant
          • The maintenance provider has income from abroad
          • You have the status of a self-employed, married or single student
          • You study or studied outside Flanders
          • You are not domiciled in Belgium
          • You are seriously ill and therefore cannot take up 27 credits

        Sometimes the Study Grants Division can proceed without you having to reply, but sometimes your file is not yet complete and you need to send in additional information.

      • To calculate your study grant, the Study Grants Division extracts a lot of data that you do not need to provide us with yourself. This involves the following basic information:

        • Incomes
          • Wages and salaries
          • Pensions
          • Disability benefit
          • Cadastral income (not a real income, but a fictitious income that corresponds to the average annual net income that a property would yield)
          • Income replacement allowance for the disabled (IVT)
        • Composition of your family
          • Change due to a divorce, for example
        • Disability
        • Enrolment details of your college or university in Flanders
        • Enrolment details of your brother(s) or sister(s).
        Do not charge a registration certificate

        Do not forward an enrolment certificate from a Flemish university or college of higher education, as this will delay the processing of your application.

      • Types of file processing

        Your file is processed:

        • either automatically
        • either manually (if it is necessary for a case handler to look at your data in more detail)

        You receive:

        • either a request for additional information
        • or a decision: this last step is not possible until there is sufficient certainty about your registration.

        Follow up your file

        This can be done in the E-portal(opens in new window).

      • Once your case is settled, you will receive a decision letter.

        • Either you meet the conditions, an approval letter will follow with the calculation details and the disbursement information when the disbursement order is given. You will always receive a letter just before payment, with the calculation and payment details.
        • Either you do not meet the conditions, you will immediately receive a rejection letter. If you do not agree with your decision, you can request a review (in Dutch)(opens in new window).
